Project Specialist - Workplace Delivery & Services Strategy (Cincinnati)

Taft is seeking a Project Specialist, Workplace Delivery & Services Strategy to serve our team in Taft’s Cincinnati office.
The Project Specialist, Workplace Delivery & Services Strategy, reports to the Director of Workplace Delivery & Services Strategy and supports the planning and execution of workplace and real estate initiatives across the firm’s portfolio. This role plays a critical part in coordinating activities and tasks across multiple projects by ensuring effective and timely communication among internal stakeholders and external partners. The Project Specialist is detail-oriented, highly organized, and comfortable managing multiple priorities in a demanding and fast-paced environment.
Duties and Responsibilities:
Project Coordination & Execution:
- Support planning and delivery of workplace projects, including office relocations, renovations, and space reconfigurations
- Develop and maintain project tracking systems
- Coordinate project activities across internal teams (Accounting/Finance, IG, IT, Operations, Procurement) and external vendors (architects, engineers, contractors, consultants)
- Track project milestones, risks, and action items to ensure timely execution
Stakeholder Communication:
- Prepare meeting agendas, notes, and status reports
- Facilitate communication between project teams, local offices/end users, and firm leadership
- Support change management efforts, including project-specific communications, move coordination, and decommissioning
Documentation & Reporting:
- Maintain organized project files and documentation
- Assist in preparing project reports and executive summaries
- Produce, track, and update project financials, including budgets, forecasts, invoices, and payments
Vendor & Consultant Coordination:
- Support procurement and onboarding of consultants and vendors
- Coordinate deliverables and ensure alignment with project scope and schedule
- Assist with review of proposals, contracts, invoices, and change orders
Requirements:
- Bachelor’s degree in management, construction management, architecture, engineering, business, or related field
- 3+ years of experience in project coordination/management, construction, workplace strategy, corporate real estate, or related field
- Financial management experience, including budgeting/forecasting and budget-to-actual cost tracking
- Working knowledge of office lease review and interpretation
Knowledge, Abilities, Skills, Interpersonal and Other Requirements
- Experience with law firm or professional services office build-outs preferred
- Strong organizational and time management skills
- Excellent written and verbal communication skills
- High attention to detail and accuracy
- Ability to manage multiple projects simultaneously
- Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word)
- Familiarity with project management tools (e.g., MS Project, Procore, Smartsheet) preferred
