Conference Center Coordinator (Cincinnati)

Taft is currently seeking a Conference Center Coordinator to join our team.

We are seeking a Conference Center Coordinator with 2+ years’ experience to support our Cincinnati office. All Taft employees operate under a “Client First” philosophy—in all things, we seek to provide exceptional services to our clients.

Duties and Responsibilities:

  • Act as first point of contact for client looking to schedule meetings and events in Taft’s conference centers. Partner with clients to understand goals, requirements, and expectations for each event.
  • Manage Maptician for client and community activity requests.
  • Coordinate with IT to set up video conferencing and audio needs, communicate with Office Services team for timely meeting setups and breakdowns.
  • Submit event receipts and invoices via LMS for processing.
  • Order and coordinate food and beverage for client meetings and events as needed.
  • Coordinate staffing for after-hours events.
  • Plan and execute large-scale internal events (i.e., Office Holiday Party, Administrative Professionals week, Taft Family Day, etc.).
  • Work with the Operations, Business Development, and Professional Development Teams to coordinate various smaller internal events, including in-office I&O activities.
  • Liaise with practice group leaders and legal assistants in the coordination of teambuilding events and provide support, as needed.
  • Maintain inventory for both conference centers.
  • Assist with hospitality tasks as needed which may include, but is not limited to, backup reception coverage, stocking conference rooms, and placing maintenance requests through Commercial Café.
  • Perform miscellaneous administrative support duties as needed.

  • Must demonstrate a high degree of professionalism, credibility and personal effectiveness.
  • Strong interpersonal skills in order to effectively communicate by phone and with visitors with courtesy and tact.
  • Strong self-management skills, including high level of organization, problem-solving, and proactive approach.
  • Thoroughness and strong attention to detail.
  • Ability to collaborate well with colleagues and work effectively as a team.
  • Ability to multi-task and remain calm under pressure.
  • Must be flexible and dependable.

Education and Experience:

  • High school diploma or GED required.
  • Two years of related experience in a professional services firm desired.
  • Experience working in Word, PowerPoint and Outlook desired.
