Receptionist (Minneapolis)

Taft is currently seeking a Receptionist to join our team in Minneapolis.
We are seeking a Receptionist with 2+ years’ experience to support our team in the Minneapolis office. All Taft employees operate under a “Client First” philosophy — in all things, we seek to provide exceptional services to our clients.
Duties and Responsibilities:
- Greets clients and guests to the Firm.
- Receives incoming phone calls. Takes and relays messages and clearly and concisely provides directions and information to callers and guests.
- Schedules conference rooms and meetings.
- Orders and coordinates food and beverages for client and internal meetings and events.
- Routes FedEx and other incoming mail.
- Manages front desk tasks and responsibilities.
- Monitors security cameras and reports concerns to office management.
- Performs miscellaneous administrative support duties for assigned office which may include validating parking tickets, arranging cab service, providing and tracking visitor badges.
- Assists other departments and practice groups with special projects which may include entering Firm invoices into LMS, processes notaries, compiling closing books and other tasks as requested.
- Assists with hospitality tasks in assigned office as needed (checking conference rooms; coordinating with IT to setup video conferencing and audio needs; communicating with hospitality team for timely meeting setups and breakdowns; checking conference rooms and kitchens to ensure that all are stocked, clean and organized).
Requirements:
- High school diploma or GED required.
- Two years of related experience in a professional services firm desired.
- Knowledge and experience with computerized voice over IP phone system required.
- Experience working in Word, Excel and Outlook desired.
- Must demonstrate a high degree of professionalism, credibility, and personal effectiveness.
- Strong interpersonal skills in order to effectively communicate by phone and with visitors with courtesy and tact.
- Thoroughness and strong attention to detail.
- Ability to collaborate well with colleagues and work effectively as a team.
- Must be flexible and dependable.
