Legal Assistant - Real Estate (Indianapolis)

Taft is seeking a legal assistant to serve our Real Estate team in Taft’s Indianapolis office.

We are seeking a legal assistant with 2+ years of legal experience to provide administrative support to our Real Estate team in the Indianapolis office. Legal Assistants serve clients by providing administrative support to attorneys. All Taft employees operate under a “Client First” philosophy — in all things, we seek to provide exceptional services to our clients. 

Essential Duties:

  • Drafts and revises transaction and organizational documents.
  • Creates and helps maintain closing checklists and transaction documents.
  • Communicates with clients, facilitating the transmittal of necessary information.
  • Communicates regularly with team regarding status of client matters.
  • Assists team with deal closings.
  • Handles closing book and other related post-closing matters.
  • Sends and tracks signature pages and original documents.
  • Calendars important deal closing dates.
  • Processes requests for payment and reimbursements.
  • Processes document comparisons and handles document exhibits.
  • Obtains certificates from the Secretary of State and IRS.
  • Exhibits outstanding client service orientation in greeting guests, scheduling meetings, and conducting telephone conferences.
  • Proactively supports attorneys.
  • Responds to requests with a sense of urgency and effectively prioritizes work.
  • Proactively calendars and monitors deadlines.
  • Enters attorney billable hours into the firm billing program.
  • Creates, maintains and retires files in accordance with Taft’s Information Governance Policy.
  • Assists in managing client contacts, emails, and print documents as well as processing mail.
  • Clearly communicates in a concise, professional manner.
  • Complete other projects and tasks as assigned.


  • High School diploma or equivalent.
  • Some education beyond high school or other coursework related to the legal industry preferred.
  • 2+ years’ related legal experience in a law firm or legal setting.
  • Strong attention to detail and accuracy.
  • Excellent grammar, proofreading and communication skills.
  • Ability to work within a team environment and work well under pressure with deadlines.
  • Ability to organize and prioritize work and follow assignments through to completion.
  • Strong initiative and creative problem-solving skills.
  • Strong desire to learn on the job and comfort with asking questions.
  • Advanced proficiency in Microsoft suite and familiarity with FileSite electronic documentation.
