Chicago Event Marketing Coordinator

Reports to: Director of Event Marketing

Taft, a growing law firm with eight major Midwest markets and the District of Columbia, is looking for an event marketing coordinator to join its Chicago office.

We’re seeking a driven individual to play a pivotal role in maintaining and elevating Taft’s brand through impeccable event coordination.

What You’ll Be Doing:


  • Lead the coordination of client-facing events in the Chicago market, ensuring flawless execution by managing tasks such as venue research, menu selections, vendor communications, on-site execution, and comprehensive post-event reporting.
  • Support the Director of Event Marketing with logistics for signature firm-wide events.
  • Draft email communications and publish event details on the firm’s website.
  • Develop and maintain online registration platforms, monitor RSVPs, and prepare attendee reports.
  • Prepare event materials such as seminar handouts, PowerPoint presentations, on-site signage, name tags, and other marketing pieces.
  • Facilitate Illinois MCLE submissions for events with an external audience.
  • Manage branded promotional items (“swag”) for the Chicago office, including quarterly inventory and regular distribution of items.
  • Maintain the Marketing and Business Development calendar, ensuring it reflects upcoming events, holidays, and office closures to optimize team collaboration and prevent scheduling conflicts.
  • Help develop a streamlined ticket management process for sports and entertainment events across Taft markets to increase efficiencies, visibility into ticket usage, and enhanced tracking of ROI.


  • Manage the administrative aspects of Chicago office sponsorships, coordinating marketing materials and maintaining event timelines.
  • Oversee sponsorship fulfillment, including registrations, ad submissions, and attendee coordination.


  • Manage various aspects of webinar production, including content creation, brand alignment, and providing presenters with best practices.
  • Coordinate scheduling and planning for webinar initiatives.
  • Serve in a backup capacity for editing video and audio content for various marketing and business development podcasts and projects.

What We Expect From You and Requirements:

  • Minimum of 4-5 years of event coordination and general marketing experience.
  • Exceptional verbal and written communication skills with an ability to effectively interact with attorneys, staff, and clients. Familiarity with AP style preferred.
  • Demonstrated experience in registration management and e-communication platforms. Experience with Cvent and video editing software a plus.
  • Proven ability to manage multiple projects and solve problems in a fast-paced environment.
  • Enthusiasm for tackling new challenges independently or collaboratively within a team.
  • High proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).


  • Full time role with periodic travel requirements.
  • Occasional work outside standard business hours, especially during onsite event execution.
