Document Specialist

Taft is currently seeking a Document Specialist to serve our team in Taft’s Cincinnati office.

We are seeking a document specialist to support our team in the Cincinnati office. All Taft employees operate under a “Client First” philosophy—in all things, we seek to provide exceptional services to our clients. This is an entry-level position.

Essential Duties:

  • Provides administrative and clerical support for attorneys and other team members.
  • Responds to requests with a sense of urgency and effectively prioritizes work.
  • Monitors various deadlines, reminding legal assistants and attorneys when appropriate of approaching deadlines. Supports legal assistants and other colleagues in meeting the deadlines.
  • Composes letters and memoranda as directed, ensuring that letters are well-written and free from error.
  • Transcribes dictation.
  • Inputs timekeeper’s time into the firm’s time management system.
  • Processes requests for payment and reimbursements.
  • Processes mail.
  • Runs errands; delivers documents or other things to other floors, offices, or colleagues.
  • Creates, maintains, and retires files in accordance with Taft’s Information Governance Policy and the protocols and procedures of the Information Governance Department.


  • Demonstrated proficiency with the following software applications:
    • Microsoft Office 2016: Word, Excel, Outlook, and PowerPoint.
    • Nuance PDF Converter.
    • Experience with DeskSite/FileSite/iManage is preferred.
    • Experience with BigHand Dictation software is preferred.
  • Demonstrated personal effectiveness & credibility.
  • Ability to maintain productive, cordial relationships with colleagues and others with whom you will come in contact; must demonstrate the ability to collaborate and to engage in teamwork.
  • Must demonstrate the ability to adapt readily when circumstances and/or assignments change.
  • Must maintain client confidences and the confidentiality of Taft internal information.
  • Must demonstrate thoroughness & very close attention to detail.
  • It is essential that document specialist have the ability to communicate effectively, using proper English, grammar, and punctuation in oral and written communications.
  • Must be deadline driven.
